These Terms & Conditions ("T&Cs") form part of your Rental Agreement with Midlands Motorhome Hire Ltd. Please read them carefully before booking. They apply alongside the Rental Contract and any Vehicle Condition Report.

Welcome and thank you for choosing Midlands Motorhome Hire for your adventure. Please read these Terms and Conditions ("T&Cs") carefully — they form part of your Rental Agreement.
1.1 Headings are for convenience only.
1.2 References to statutes include amendments and subordinate legislation.
1.3 Singular includes plural and vice versa.
2.1 A reservation is confirmed only on payment of the agreed deposit or full Hire Charge.
2.2 We accept Visa and MasterCard (credit/debit).
2.3 If booking more than 45 days ahead, 30% of Hire Charge is due on booking, balance 45 days before departure. Bookings made within 45 days require full payment on booking. Damage deposit taken from booking card 3 days prior to booking.
2.4 No Vehicle release without cleared payment.

4.2 Additional driver: £15 per driver per night (max two).
5.1 Collection between 2pm–4pm; return between 9am–11am on the specified dates. Collection & return times must be arranged at least one day before arrival. Late arrivals are charged £50 for the first hour — this applies to both collection and returns, as we specifically arrange for someone to meet you at our collection yard. For late returns, see the Late Returns section below.
5.2 Allow 45 minutes at each end for handover inspection.
5.3 Guest must produce two forms of photo ID and pay the Security Deposit by credit/debit card in the Guest's name.
5.4 Vehicle supplied in roadworthy, clean condition — Guest to inspect and sign the Vehicle Condition Report.
5.5 Return with the same fuel level (full-to-full policy), empty toilet cassette, empty wastewater tanks, and clean interior (fair wear and tear excepted). Late or dirty returns incur charges.
The motorhome must be returned by 11:00am on the agreed return date, unless an alternative return time has been agreed by us in writing. We take late returns very seriously, as each vehicle must be cleaned, inspected and prepared for the next customer. A late return may prevent a subsequent hire from going ahead. If the vehicle is returned late, the following charges apply:

If you believe you will be delayed, you must contact us as soon as possible. We will try to accommodate delays where reasonably possible, but this cannot be guaranteed.

A council tax bill is accepted for hires within that tax year. All other documents must be dated within 90 days of the hire end date. The name & address must match the driving licence — if they don't, the team checks with the customer first.
7.1 Comprehensive insurance is provided for authorised drivers only, subject to the terms, conditions and exclusions of our insurer.
7.2 A refundable Security Deposit of £1,500 is required before the commencement of the hire. The Security Deposit is held as security for all obligations under this Agreement and may be used to cover any amounts due, including but not limited to:
Any remaining balance of the Security Deposit will be refunded once the Vehicle has been inspected and all outstanding charges have been identified and settled.
7.3 The Guest is responsible for the applicable insurance excess for any insured claim, as notified before the commencement of the hire.
7.4 If an insurance claim is declined or reduced because the Guest has breached this Agreement or the insurer's terms and conditions, the Guest remains liable for any resulting losses suffered by the Owner.
7.5 If the total amount payable by the Guest exceeds the Security Deposit, the Guest remains liable for the outstanding balance.
7.6 CDW optional:
8.1 Purchased CDW applies to the first Incident only; subsequent Incidents subject to the full Security Deposit.
8.2 Must report Incidents within 24 hrs.
9.1 Not offered. Changes governed by the clause 2.3 / cancellation terms.
10.1 Europe cover (£15/night) must be purchased before departure. Minimum charge applies.
10.2 Travel outside covered countries invalidates insurance.
11.1 Available as part of CDW: covers one windscreen, two mirrors or two tyres; thereafter pay full replacement.
12.1 Guest must assist with claims and not admit liability.
12.2 Deposit withheld until claims are closed; any balance refunded thereafter.
13.1 We may terminate without refund if the Guest:

14.2 No refunds on relocation or special deals.
15.1 We may substitute with a similar Vehicle; no surcharge for an upgrade. A downgrade entitles the Guest to a partial refund.
16.1 Report faults promptly; we'll endeavour to assist but cannot guarantee a refund or replacement Vehicle.
17.1 If the Vehicle is unusable due to a mechanical fault for more than 48 hrs: refund up to the nightly rate for the affected nights.
18.1 Only Drivers may drive.
18.2 Prohibited uses include:
19.1 24/7 assistance for mechanical faults; call-out fees for misuse at the Guest's cost.
19.2 Guest to check oil, coolant and tyre pressures every 500 miles; failure to maintain is the liability of the Guest.
20.1 Notify us within 24 hrs, report to police, complete an incident form, obtain witnesses and photos, and do not admit fault.
21.1 Guest liable for all fines plus an admin fee of £50 per offence.
22.1 Strictly prohibited; £250 cleaning charge, or full Deposit if severe damage.
23.1 Dogs allowed (£50) only with prior notification. Guest to protect upholstery with their own throws and not allow pets on furniture or upholstery; interior must be pristine on return or a £95 deep-clean fee applies.
24.1 Payments/refunds in GBP.
24.2 Refunds (including Deposit) may take up to 14 days to clear.
25.1 Report immediately to our office; unresolved issues must be put in writing within 14 days of return.
26.1 We cannot exclude liability for death or personal injury due to negligence.
26.2 Otherwise, liability is limited to the total Hire Charge paid. No liability for indirect losses.
27.1 The Vehicle may be fitted with tracking, used for safety and compliance. Continued breach may lead to termination.
The Vehicle is fitted with a telematics system which monitors driving behaviour, including speed, location and other vehicle data. The system may notify us and our insurer if the Vehicle exceeds the applicable speed limit by 20% or more. If the telematics system records three or more instances of the Vehicle exceeding the applicable speed limit by 20% or more during the hire period, this may be treated as a material breach of this Agreement. In these circumstances, we reserve the right to:
An administration charge of £50 may also be deducted from the Security Deposit to cover the costs of reviewing telematics data, investigating the incident(s) and administering the breach.
28.1 We process personal data per our Privacy Policy at motorhomehiremidlands.co.uk/privacy.
29.1 Variations only if agreed in writing by both parties.
29.2 No third-party rights under the Contracts (Rights of Third Parties) Act.
29.3 Invalid provisions are severable.
29.4 This is the entire agreement.
29.5 Advertising material is for guidance only; the actual Vehicle may differ.
29.6 No reliance on representations outside this Agreement.
29.7 Force majeure applies.
29.8 Waiver only in writing.
29.9 Governing law: England and Wales.
29.10 Jurisdiction: Midlands Motorhome Hire Ltd and the Guest irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with this Rental Agreement or its subject matter or formation.
By booking and hiring a vehicle from Midlands Motorhome Hire Ltd, you confirm that you have read, understood and agree to these Terms & Conditions, which form part of your Rental Agreement.
